Senior Staff Accountant – NAACP National Headquarters – Baltimore, MD

Summary:

Summary of Duties:

Under the supervision of the Senior Director of Accounting and general direction of the Chief Financial Officer, the Senior Staff Accountant will:

Provide detailed grant revenue and expense accounting, including:
Establish, review and maintain grants and contributions files and/or review and assess such files maintained by others.
Account for grants and contributions in the financial data base.
Meet regularly with Development staff to ensure that Finance receives grant an contribution proposals, award letters, commitment letters, pledges in order to keep Finance files up to date
Set-up funder codes/T-codes for grants that require a financial report and update the T-code List and circulate it to the appropriate employees.
Prepare funder financial reports.
Review and verify program revenue and related expenditures for documentation, compliance and accuracy.
Assist with internal and independent external audits as needed.

Assist in annual budget preparation and maintenance
Compile departmental submissions into a summary spreadsheet and modify as necessary.
Organize submissions into an orderly binder.
Enter budget into accounting system.
Complete above tasks for mid-year budget modifications, as needed.
Enter all approved budget reallocations into the accounting system, ensure the total expenses have not changed, and then scan and email a copy of the completed reallocation request form to the appropriate party.

Assemble monthly information reports for departments
Run monthly management reports for departments. This includes variance reports and special reports such as a general ledger report for contributions to date for development, a year-to-date general ledger report for Crisis and the Hollywood Bureau and a program report for the Chief Operating Officer, which includes the departmental and project variance reports for all programs.
Answer inquiries from the departments as to the expense charged to their program accounts.
Reclassify entries as needed.

Performs all duties necessary to process biweekly payroll and related reports and transactions, including:
Maintain communication between Finance and Human Resources to obtain all necessary changes to payroll records including but not limited to:
Addition of new hires
Termination of employees
Changes of personal information such as address, name, phone number
Position and salary changes
Process and maintain withholdings for employee advances or court-ordered garnishments.
Filing tax reports and voluntary deduction reports.
Processing benefit deductions such as insurance premiums, 401(k) withholdings, etc. and submissions and reports.
Ensure wire transfer is completed to cover payroll expense.
Prepare and upload bi-weekly report to Transamerica for 401(k) deductions and prepare wire transfer request.
Prepare monthly check request for Union withholdings.
Prepare check requests for processing charges and investigate notices of non-payment when received.
Register the NAACP or Crisis with the appropriate State agencies when an employee moves or is hired in a new state.
Update State withholding percentages for Unemployment Insurance when notified by the individual states.
Prepare special reports for management as necessary.

Prepare monthly bank reconciliations for the following accounts:
Crisis operating
Operating #2 (formerly Convention account)
All investment accounts including reserves and scholarships
Line of Credit

Assist in preparation of monthly financial statements
Prepare monthly analysis of SCF Net Assets.
Proofread draft statements and financial summaries before submission to President.

Assist in maintaining proper coding of expenditures
Review all check requests, expense reports, and purchase requisitions and confirm that they have been coded correctly.
Assist in training to staff members to understand and use the chart of accounts to properly code their check requests.

Maintain the chart of accounts
Maintain the Chart of Accounts and T-Code List and distribute to the staff as needed.
Add or remove Project Codes and T-Codes in the accounting system

    Other:
Enter all wire transfers in the accounts payable system.
Reclassify entries which have been miscoded.
Other duties as assigned.

Qualifications:

The ideal candidate for this position will possess many, if not all, of the following professional qualifications, competencies and personal qualities:

Bachelor’s degree in Accounting from an accredited college
Over 7 years of experience in accounting, almost exclusively in non-profit accounting
Prior experience in auditing and financial reporting
Good written and verbal communication skills, along with strong interpersonal skills
Certified Public Accountant
Personal commitment to NAACP’s mission and goals.
