Development + Information Systems Coordinator – EcoDistricts – Portland, OR

Job Description

The Development + Information Systems Coordinator is responsible for supporting the recruitment, engagement, and cultivation of a strong base of individual and organizational donors, supporters and sponsors to help the organization meet its mission and programmatic goals. In addition, the position is responsible for building and administrating the organization’s Salesforce database to support all areas of fundraising – donor contributions, sponsorships and fee-for service revenue – and help staff set and manage business development and customer relationships activities. The position reports to the Director of

Development + Partnerships.
Duties & Responsibilities

Donor Recruitment & Stewardship

Work with Development + Partnerships Director to implement strategies to gain, engage and retain donors in order to meet (and exceed) annual membership revenue goals
Collaborate with staff to effectively grow and promote involvement by individual and organizations in innovative ways through our outreach, events, participation, education, and communications
Provide operational support to Director of Development + Partnerships as needed
Responsible for systems design and management of all donor data, tracking and reporting, including but not limited to:
Collecting and analyzing current, new and potential member information
Assist nonprofit members with day-­to-­day needs, including facilitating member benefit usage
Work with Marketing + Communications staff to implement all facets of donor-related communications and messaging including emails, blog posts, web content, social media communication, direct mail, and print materials.
Assist in ongoing assessment and enhancement of nonprofit donor recruitment and retention plans
Conceive of and help organize events (both online and in-person) for the purpose of donor and supporter engagement
Process donor acknowledgement letters

Information Services

Daily administration and support of EcoDistricts’ Salesforce database including but not limited to managing multiple user setup, profiles and roles, customization of objects, fields, record types, page layouts and validations
Work with management and end-users to create and manage complex workflow rules, data validation, and triggers
Develop and maintain customized reports and dashboards, including but not limited to recruitment and retention tracking and reports
Manage all aspects of the Salesforce database to ensure integrity of all donor data and records including:
Updating and managing records, including data accuracy and duplication
Database backup and security
Processing membership and donor payments
Keeping abreast of new Salesforce features and functionality and providing recommendations for process improvements
Train new and existing users on how to use Salesforce database applications
Keep application users informed about system functionality and enhancements
Provide application users with technical support
Log and track identified system problems through resolution
Create and maintain documentation on processes, policies, application configuration and help related materials for users as Salesforce database applications are developed

Operations & Programs

Assist Director of Finance + Administration with basic operations, IT and finance related activities
Provide support for EcoDistricts events as needed, including Incubator and Summit
Perform day-to-day operational duties of the organization as assigned

Skills & Qualifications

Bachelor’s degree in communications, marketing or related field
2+ years’ experience in development, fundraising, marketing, communications and/or donor/membership stewardship
Experience with membership and donor management, with a track record of growing membership and engagement
Experience in managing digital campaigns and a demonstrable track record of growing donors and tracking/analyzing results
A high degree of comfort with “making the ask,” i.e., actively selling memberships and fundraising
Experience with using and administering Salesforce or similar CRM required
Computer literacy in Microsoft Office and fluency with engagement-related web apps required
Project management experience, with excellent time management skills and ability to balance multiple tasks and short and long-term priorities simultaneously
Commitment to working with shared leadership and in cross-functional teams
Strong oral and written communications skills
Excellent people skills, with experience collaborating in a multi-disciplinary, diverse, and dynamic team
Demonstrated resourcefulness in setting priorities, proposing new ways of creating efficiencies, and guiding investment in people and systems
Flexible and a self-starter; able to manage multiple concurrent projects while also being highly detail-oriented with an attention to quality
Personal qualities of integrity, credibility, and a commitment to EcoDistricts’ mission
