Bookkeeper – Inspiring Educators – Newton MA, MA

Reporting to the Executive Director, the Bookkeeper will apply generally accepted principles of accounting to manage the bookkeeping needs for the organization. Utilizing QuickBooks Pro 2015 (desktop) and working remotely responsibilities include, but are not limited to, accounts payable, accounts receivable, invoicing, general ledger reconciliation and financial reporting.

This part time position regularly interacts with clients and contracted facilitators and requires a high degree of customer service. It is expected that the bookkeeper will embrace and support Inspiring Educators’ vision, values, and will partner in supporting the fulfillment of the organization’s ongoing mission, as well as commit to personal growth and development as a valued individual in the organization.

The bookkeeper’s schedule is expected to fluctuate between 10 and 20 hours per week, with occasional increased hours due to work flow. Flexibility with schedule is an imperative with this position.

Inspiring Educators currently works with Associated Grant Makers (AGM) as it’s fiscal sponsor, in essence IE’s bank. IE will transition to self-operating in January, 2016 at which time the bookkeeper will be responsible for handling all banking responsibilities, check writing, reporting and deposits. The bookkeeper will be responsible for project managing the transition to self-operating as well.

Responsibilities are to complete all aspects of financial tasks and reporting utilizing QuickBooks:

– Invoicing:

Mail client invoices at the completion of all projects per contract specifications
Ensure that all charges are captured on the invoice by interfacing with project facilitators and project administrator

– Accounts Payable:

Receive and process invoices and expense reports from IE facilitators and staff, ensuring that all entries are posted to the correct cost centers and project
Send payables to Associated Grant Makers semimonthly for payment for the balance of calendar/fiscal year 2015
After the transition in January, 2016 to self-operating, the bookkeeper will process and pay all invoices directly.

– Accounts Receivable:

Receive and process client payments in QB, applying them to the correct invoice
Respond to client inquiries
Follow up with clients directly on past due accounts
Collect mail at PO Box in Newton Center, MA and deposit checks (send to AGM in 2015, deposit in bank in 2016)

– Financial Reconciliation:

Works with AGM to ensure IE statements and AGM statements align for the balance of 2015
After the transition to self-operating the bookkeeper will prepare monthly statements in QB
Reconciles monthly activity against the fiscal budget utilizing accrual accounting principles
Provides monthly actual-to-budget variance reports

– Reports payroll semi-monthly to outside payroll company and reconciles in QB

– Reports regularly to the Executive Director on Inspiring Educators’ financial position. These meetings will be both live and virtual.

– Prepares analysis of accounts as required.

– Assists with related special projects as required such as P&L statements, forecasts and Board of Directors’ presentations

– Prepares annual Budget with ED

– Prepares end of year reports to enable CPA to prepare taxes

Qualifications:

Significant QuickBooks experience required, certification preferred
Minimum 5 years bookkeeping experience, degree preferred
Experience with non-profits a plus
Proficiency in Microsoft Excel, Microsoft Word and utilization of Google Drive and Gmail
Excellent customer service skills
Must be able to meet deadlines and work collaboratively in a fast-paced environment.
Must have a flexible work schedule and be open to accepting additional responsibility and hours based on need and work flow
Must have excellent written and oral communications skills.
Must be able and willing to see the “big picture” of a project.
Must be able to work independently (primarily remotely) and as a team player (with others, working in ‘virtual’ offices).
