Administration/ Finance Assistant – Restaurant Opportunities Centers United – New York, NY

Founded initially after September 11th, 2001, the Restaurant Opportunities Center (ROC) has grown into a national organization with 14,000 low-wage restaurant worker members in thirteen locations, and growing rapidly. Over the last ten years, we have won more than a dozen workplace justice campaigns, winning more than $7 million in misappropriated tips and wages and discrimination payments for low-wage workers, and significant policy changes in high-profile fine dining restaurant companies covering thousands of workers. We have partnered with more than 100 responsible restaurant owners to promote the ‘high road’ to profitability, and trained more than 5000 restaurant workers to advance to livable wage jobs within the industry. We have also published 24 ground-breaking reports on the restaurant industry, obtaining significant media coverage, played an instrumental role in winning a statewide minimum wage increase for tipped workers, and initiated other policy campaigns at the local, state, and federal level. We have organized restaurant workers to open their own cooperatively-owned restaurants in New York and Detroit.

Since January 2008 we have launched affiliates in New Orleans, Miami, Michigan, Chicago, Philadelphia, Los Angeles, Washington, DC, Houston, New Mexico, the San Francisco Bay Area, Seattle, and Boston; we have unstaffed ‘ROC STAR’ volunteer restaurant worker committees in another 20 locations. In each region, we conduct workplace justice campaigns, partner with ‘high road’ restaurants to conduct advanced restaurant workforce development programs, and collaborate with local academics and other allies to produce comprehensive participatory research and policy initiatives. Nationally, we organize national convening of restaurant workers, Congressional briefings, public fora, and more. In these ways, ROC continues to build power and voice for low-wage restaurant workers at the local, state, and federal levels.

POSITION LOCATION: New York City

General Job Description: Assisting the Deputy Executive Director with his responsibilities for all financial, compliance, regulatory, administrative and Human Resource functions of the Company and supporting Development Director in the execution of their responsibilities; specifically, grant and report writing, supply financial information, collect and organize grant letters, organize and carry out foundation calls and meetings etc. .

Goal: Increase the effectiveness and efficiency of the support services for the organization.

RESPONSIBILITIES:

Development Support

Collect and organize all grant letters
Provide all requested financial report: P&L, Balance sheet etc.
Process donations and prepare acknowledgement letters and other correspondence.
Provide fundraising support 2 days a week (grant scouting, reporting, proposal writing)

Financial Management (3 days a week)

Bookkeeping: Processing and monitoring reimbursement requests
Assisting Deputy Executive Director in creating annual organizational budget and monitoring cash flow
Audit(s): support Bookkeeper and auditor in providing all relevant documents
Manage all affiliates petit cash and petit cash reconciliation
Ensure compliance of fiscal protocols and fiscal documents (workman compensation, Disability insurance, State tax etc..
Administering payroll

HR (Supervising the HR assistant)

Setting up new employees, onboarding etc.
Timesheet management
Ensure compliance of all insurance and administration documents ( tenant liability, Board ins, Affiliates registration documents etc
Administering employee health/dental benefits

○ Tracking staff employees vacation, sick days, comp time, overtime

○ Track all staff employees time sheets

Small project management

Retreats and convening – Logistics and coordination

Misc:

Support role in all organizational programs and events
Book flights and lodging accommodation for all staff
Manage all incoming and outgoing office correspondence
Other responsibilities as assigned

QUALIFICATIONS:

Three to five years of administrative & finance experience including prior experience (non-profit setting preferable)
Undergraduate degree in accounting, finance, business administration or related field, or equivalent experience.
Strong computer experience, including working knowledge of QuickBooks and Excel
Able to work independently, prioritize, set and meet deadlines
Detail oriented with strong organizational skills
Experience in fling systems
Good writing skills, sample required
